Overview of the position:
Under the general supervision of the Logistics Officer, the Supply & Logistics Assistant performs logistics functions for Central South Zone. Although the post is office-based, the responsibility can be physically demanding as staff member is often required to assist in moving heavy cartons, climb ladders and trucks, spend long hours standing & working late in the evenings.
Role objective:
The Supply & Logistics Assistant is expected to make regular input into planning his work program & make recommendations regarding the efficiency of the Supply/Logistics operations & service delivery ensuring that all deadlines are met. Failure to correctly interpret & follow rules & procedures could result in loss of funds, property & time. Lack of follow-up on assigned responsibilities & delays in meeting commitments would adversely affect program implementation, staff & other office interests. Work follows standard procedures. Supervisor provides outline of assignment & reviews work for accuracy, conformance with requests, procedures & regulations. Staff member expected to work independently.
Responsibilities:
- Update the inventory of warehouse stock on a regular periodic basis. Prepare required periodic inventory reports on logistics & movement of stocks for reporting to program sections.
- Monitor & control movement of all commodities entering & leaving the warehouse & maintain daily records of those supplies in the warehouse. Ensure proper documentation for supplies received & correct authorization on issue orders for supplies requested.
- Report all incoming & outgoing deliveries of supplies to Supervisor & report any discrepancy discovered between the manifest & physical delivery immediately.
- Ensure delivery of supplies from the warehouse is as per issue orders endorsed by the Logistics Specialist &/or responsible Officer in Charge (i.e. verify items ordered & quantity are correct, inspect repacking for safe delivery), ensure timely assembly & issuance of orders.
- Ensure training & field support in relation to VISION/ZSUPPLY transactions processing.
- Facilitation of regular physical stock counts in Mogadishu warehouses, responsible for related stock movements & preparation of documents on inventory data.
- Provide goods status reports to concerned program & to the logistics unit.
- Manage GS-3 Logistics Assistant.

The guidelines are well established. However, some selection & interpretation are required. Any deviations from standard procedures & guidelines must be cleared by Supervisor. Staff member is expected to propose the establishment of new procedures or updating of existing ones as required.
Project reporting:
This role directly reports to the Chief Supply of Logistics Section and works closely with the below:
Internal:
- Chief, Supply & Logistics (L4): Exchange of information and guidance.
- Supply & Logistics Specialist (P3): Review of work, guidance, exchange of information.
- Logistics Officer (NOB): Work assignments, review of work,guidance, exchange of information.
- Zonal Operations Program staff (L3-GS2): Work-related requests, co-ordinate activities & exchange of information.
External:
- Contractors, Transport Operators, Suppliers UN & NGO Representatives: Exchange of information, follow-up actions.
Team management:
- This role does not have team management responsibility.
Geographical experience:
- Minimum of 6 years of experience in Africa (essential).
Languages:
- Fluency in English and Somali are essential.
Education:
- Completion of Secondary Education.
- Working knowledge of computer Word & Excel applications.
- Training in Logistics Administration & Warehouse Management & inventory.
Experience:
- Six (6) years work experience in administrative capacity in field related to Logistics Inventory Management especially.
Languages:
- Proficiency in written & oral English &local language of duty station required.
