Although the post is office-based, the responsibility can be physically demanding as staff member is often required to assist in moving heavy cartons, climb ladders and trucks, spend long hours standing and working late in the evenings. Work follows standard procedures. Supervisor provides outline of assignment and reviews work for accuracy, conformance with requests, procedures and regulations. Staff member expected to work independently.
Under the general supervision of the Chief Supply & Logistics in Mogadishu Country Office, the incumbent will undertake assignments in support of the smooth functioning of the Supply and Logistics operations.
GENERAL FUNCTIONS
Role objective:
- Prepare a variety of documents (correspondence, reports, tabular information and charts) from handwritten drafts or printed matter using relevant computer applications (Microsoft Word, Excel etc) ensuring that spelling, punctuation, style and format are correct and in accordance with our client's standards. Carefully proof read all documents typed for correctness.
- Responsible for the supervision of the maintenance of the cold room, dispatch vaccines and EPI supplies to various partners in Nairobi and Somalia as instructed. Ensure that DPT, BCG and TT vaccines are only stored in refrigerators, measles and OPV vaccines are only stored in freezer, and that the vaccines are adequately packed in cold boxes. Keep proper record of EPI supplies and bring to the attention of the Supervisor when supplies are low or when expiry dates approach.
- Responsible for planning for timely procurement, delivery and monitoring of supplies. Assist in obtaining quotations from suppliers and in the analysis of the quotations for procurement below $ 1000 in Nairobi. Follow up with field offices on procurement queries for procurement being done in Somalia. Assist in maintenance of SRQ files and appropriate filing of relevant documents.
- Carry out pending tasks as per hand-over notes when Logistics Assistant and Supply Assistant are on leave or are attending to official duties outside the office as instructed by Supervisor.
- Prepare payment requests for various transport services, Purchase Orders and other Supply/Logistics administrative services. Record and monitor expenditures against respective CRQs to maintain accurate balances and information on funds available.
- Assist with the entry of inventory data of all stock movements.
- Maintain accurate and up to date filing system for correspondence, reports and any other document. Ensure daily filing of all incoming documents. Assist in researching files, documents or data for information as requested by supervisors.
- Follow up on all Supply/Logistics documents, forward for signature with USSC, ESARO and with Contractors/Suppliers.
- Take minutes of meetings as instructed by Supervisor. Assist with administrative arrangements for special meetings and travel as instructed by Supervisor.
Arrange appointments, update contact addresses, maintain agenda for supervisor, receive official calls, visitors and respond to queries in the supervisor's absence.
Arrange for VAT exemption for office supplies and internationally recruited staff with our client's Regional Office.
Staff member is expected to make regular input into planning his work programme and make recommendations regarding the efficiency of the Supply/Logistics operations and service delivery ensuring that all deadlines are met. Follow up on assigned responsibilities and meeting commitments will enable proper implementation of programme activities.

ESSENTIAL EXPERIENCE
Education:
§ Completion of Secondary School education with training in Procurement, Logistics administration and warehouse management.
Work experience:
§ Minimum of 5 years of demonstrable relevant Logistics experience.
Geographical experience:
§ Minimum of 5 years of experience in Africa (essential).
Languages:
§ Fluency in English and Somali are essential.
