The Nordic International Support Foundation (NIS) is a Norwegian-registered non-profit organization engaged in stabilization and reconciliation initiatives in conflict and post-conflict areas. Our primary areas of intervention are institutional development, public service delivery, and conflict resolution. Headquartered in Oslo, Norway, NIS is currently implementing projects in Somalia, Myanmar, and the Sahel. NIS Somalia is currently implementing a wide range of projects in South Central, Puntland and Somaliland with plans to expand in to new areas. The organization has offices in Mogadishu, Baidoa Kismayo and operational presence across all federal member states of Somalia.
Position: Logistics and Procurement Assistant
Reports to: Logistics and Procurement Officer
Duty station: Mogadishu
1.Role and responsibilities
The Logistics and Procurement Assistant will be part of the Country logistics and procurement team. S/he will be under direct supervision of the Logistics and Procurement Officer and will perform the following duties,
Specific responsibilities
· Register and/or prepare requisitions, quotations and purchase orders and update status reports
· Liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment.
· Receive supplies and ensure that they are in good condition and accompanied with correct documents
· Update vendor list
· Distribute/organize transport of material and equipment according to procedures
- Manage inventory lists
- Ensure proper documentation and filing.
· Support in asset management for all projects.
- Scan and upload all the procurement documentation into the Procurement folder in the SharePoint.
- Prepare and share weekly updates for logistics and procurement.
- Prepare full support documents for all procurements for payment in finance
· Ensure that all procurement processes are in compliance with Logistics Handbook, other NIS policies and donor requirements.
- Perform other duties as required.
Qualifications and experience for this position:
• College diploma or degree in procurement, business administration or related field
• Relevant experience working in NGOs or 2 years’ experience in procurement, logistics, grants, administration or finance.
• Experience working with different donors
• Excellent organizational skills and the ability to handle multiple priorities in a fast-paced environment.
• Good skills in excel, word and database systems for tracking inventory, actions and reporting.
• Willing to travel regularly in all NIS implementation areas in Somalia
• Proficiency in both Somali and English Language is required
• Knowledge of SAGE or other Software is an added advantage
Duration
The position if for initially 12 months with a possibility of renewal.
